Position Summary

The Office Associate will administer general office duties, provide support to management team, and maintain integrity of office systems while supporting company objectives through reporting and analysis.  

Responsibilities

  • Serve as an assistant to President
  • Manage and organize firm mail weekly
  • Provide director-level support with scheduling meeting and creating presentations
  • Association attendance planning and scheduling
  • Provide general administrative support to the team, including but not limited to:
    • Taking minutes on the weekly team conference call and distributing to the team
    • Reserve accommodations and meeting spaces
    • Order lunches for events
    • Order business cards
    • Order laptops and other equipment supplies
    • Coordinate with IT support for all new hire laptops to be set up
    • Act as liaison between Willory team and IT support to troubleshoot PC issues
  • Complete Monthly Progress Report
  • Prepare resumes for team members
  • Assist with projects, as needed
  • Serve as backup to HR Associate
  • Manage Office 365
  • Serve as SharePoint and OneDrive administrator
  • Serve as the system administrator for Applicant Tracking System (ATS)

Requirements

  • 5+ years of general office and administrative experience
  • Experience in supporting executive level management
  • Experience with reporting, spreadsheets and database tools
  • SharePoint and O365 experience preferred
  • Associate Degree
